The problem

  • Nobody knows which accounts went cold. The last visit lives in someone's memory, or in a text thread from March.

What it does

The record is earned from what happened — not typed by someone who hopes it's right.

A check-in is stamped with GPS. A buying window is confirmed by visits that actually landed inside it. An account is tied to a liquor license, not to a name someone typed. Your reps still write the notes — but the facts underneath them come from the state's records and from what the phone saw, so the parts that usually rot don't.

Orders

The order lands in the book your producer already opens.

Not an export. Not a webhook someone has to build. Your rep places the order on the account — priced with your discounts, locked at the delivery cutoff — and it appears in the Google Sheet or system your distillery already runs, deduplicated, every field in the right column.

It syncs the moment the order changes and reconciles itself every five minutes, so a dropped connection can't leave the sheet half-right. Everyone else in this category says "integrates with your workflow" and means a CSV download.

Account identity

One venue, one identity — because it's anchored to a liquor license.

This is the actual fix for "Rossi's, Rossi's Liquors and Rossi Liquor & Deli." An account isn't a name someone typed into a box; it's attached to a real license at the address the state has on file. The same bar can't become three accounts, so it can't be pitched three times.

You inherit the state's homework with it: the licensee behind the number, the class, the status, and the expiry — which surfaces as a reminder before you ship into a lapsed account.

One tap builds the run.

Follow-ups that are due and accounts going cold get merged into a single drive — not two lists to reconcile in the car — and each stop is the shortest hop from the last one. You're not handed a to-do list and left to work out the driving yourself.

Every stop carries the buyer's window, so a rep can see before they set off whether they're about to arrive when the person who signs isn't there. A new rep inherits all of it; the hours the last rep learned the hard way don't leave with them.

Check-ins

A check-in takes under 30 seconds, and it happens on the sidewalk.

One-tap purpose chips, canned notes, dictation, and the buyer you actually spoke to. GPS confirms the rep was on site, so the visit is evidence rather than a claim.

No signal in the basement of a Logan Square bar? It queues on the phone and syncs itself when the rep is back in range — recorded once, never twice. Reps don't have to think about it, which is the only reason they do it.

Ownership is parsed out of the state's own license filings, so an account isn't just a bar — it's a bar and whoever owns it. You can see whether you're pitching a family-run single site or one store in a chain, and every other location under that same owner.

It changes the conversation before you walk in. A yes from a buyer who signs for one store is a case. A yes from a buyer who signs for all of them is a route.

Your data

Your book is yours. We don't sell it, and we don't leak it.

Field-sales data is only worth anything if the people using it trust it. Your accounts, prices, notes and orders stay inside your business. Nothing reaches anyone else unless you switch it on, and you can take all of it with you whenever you want.

Isolated by default

Your accounts, contacts, notes, pricing and orders belong to your business alone. We don't sell them and we don't hand them to third parties.

Sharing is two-sided

Nothing reaches a distributor or partner unless both sides enable that category — and only that category. Never your whole book, your prices, or your private notes.

History is sacred

Records are corrected, never quietly erased. Deletions are soft, changes are audited, and you can export everything you entered whenever you want.

Everything you entered yourself is exportable immediately, any time. (If you later link a partner and that arrangement ends, records they brought in are held briefly before they can be exported — the full terms cover it.)

Questions we get

We're small — barely selling yet. Is it too early?

That's who this is built for. If you're one or two people with a case list and a phone, you're the case we designed around; everything else in this category starts making sense around a thousand cases a year, which is a long way off for most new brands. Starting on Proof Rounds means you never have to move your history later.

Do I need a distributor to use this?

No. It works the same whether you self-distribute, sell into a distributor's book, or have a contract distillery producing and shipping for you. Orders route to whoever fills them.

My orders live in a Google Sheet. Does that break?

That's the normal case. We wire into the sheet or system your producer already runs, once, for free — they keep working the way they work and the orders arrive clean and deduplicated. If you'd rather retire the sheet later, you can.

What do my reps have to install?

Nothing from an app store. It's a web app they add to the home screen — iPhone or Android — and it works with no signal, syncing when they're back in range.

How long does setup take?

Days, not months, and we do it. Send us your account list and catalog in whatever shape it's in; the Illinois venue data is already loaded, so most of onboarding is matching your list to it.

Do you sell our data or share it with other brands?

No. Your commercial data — accounts, notes, pricing, orders — never leaves your business. Shared venue facts (a license, an address, a closed venue) are treated as public reference data, and anything that would reach a partner requires both sides to turn it on.

Am I locked in?

No. It's month to month, there's no contract and no setup fee, and you can cancel whenever you like. Everything you entered — accounts, contacts, notes, orders — exports to CSV on demand, free, whether you're staying or leaving. We'd rather you could go and chose not to.

Will my reps feel like they're being tracked?

Reasonable worry, and the answer is in how it's built: location is read only at the moment a rep taps to check in. There's no background tracking, no breadcrumb trail, nothing running while the app is closed — a rep can look at the permission and see that for themselves. What a manager sees is the visits their reps chose to log, not where they've been.

What happens if we outgrow it?

You add seats and link your distributor. There's no re-platforming and no plan migration — the price follows activity, and your founding rate stays.

Who's behind it

Built by a brand, for brands.

Proof Rounds is made by SINTAX Spirits, a small Chicago vodka brand that sells its own accounts. We built it to run our own street sales — the license map, the day sheet, the thirty-second check-in — because nothing we could buy was built for a brand our size. Our reps used every screen in it before it was sold to anyone.

Nothing in here is a guess about how field sales works. Every screen came out of a real route in Chicago, and the awkward parts got fixed because our own reps complained about them first.
